Website and Event Terms & Conditions

Part 1 — Introduction and Scope

By accessing the Society for Information Display (SID) or Display Week (DW) websites, or registering for a SID program or event including Display Week, you agree to the following Terms and Conditions.
These policies apply to SID-operated websites, services, and events. They do not apply to organizations or individuals that SID does not own, manage, or control.
Registration for Display Week constitutes your affirmative agreement to these Terms and Conditions. SID’s registration system requires explicit acknowledgment of these Terms as a condition of completing registration. If you do not agree to these Terms in their entirety, you may not register for or attend Display Week.

Part 2 — Event Participation

2.1  General Participation
Participation in SID events, including Display Week and related programs, constitutes agreement to comply with all event policies, venue rules, and the SID Code of Conduct.
All participants — including attendees, speakers, exhibitors, sponsors, staff, volunteers, and service providers — are expected to behave in a professional and respectful manner and follow instructions from SID staff and venue personnel.

2.2  Badge Policy
All participants must wear their official event badge at all times while attending SID events or accessing event venues.
Event badges remain the property of SID and are strictly non-transferable. Sharing, transferring, duplicating, or otherwise misusing a badge may result in badge confiscation and cancellation of the associated registration. Individuals found using another person’s badge may be removed from the event.
No refunds will be issued for badges confiscated due to policy violations.

2.3  Attendee Restrictions
To maintain a professional environment and protect the interests of exhibitors and participants, the following restrictions apply:

  • Solicitation: Commercial solicitation or distribution of marketing materials is not permitted outside an exhibitor’s contracted booth space.
  • Photography and Recording: Photography, video recording, audio recording, screen capture, or any other recording of presentations, technical sessions, or exhibit displays is prohibited unless expressly authorized by SID.
  • Age Restrictions: Individuals under the age of 16 are not permitted on the exhibit floor.
  • Suitcasing: Non-exhibiting companies or individuals may not solicit business on the exhibit floor or in event spaces. SID reserves the right to remove individuals engaging in such activity.

2.4  Health and Safety
Participants must comply with all health, safety, and security policies established by SID, the event venue, and applicable governmental authorities.
SID reserves the right to implement reasonable safety measures as necessary to protect participants and staff. Failure to comply with health, safety, or security requirements may result in removal from the event without refund.

2.5  Assumption of Risk
Participants voluntarily assume all risks associated with event attendance, including but not limited to personal injury, illness, loss, or damage to personal property.
By participating in an SID event, you release and hold harmless SID and its officers, directors, employees, contractors, and agents from claims arising from participation in the event, except where prohibited by law.

2.6  Event Changes and Force Majeure
SID reserves the right to modify event programs, schedules, speakers, exhibitors, locations, or other event elements without prior notice.
SID shall not be responsible for delays, interruptions, or cancellations caused by circumstances beyond its reasonable control, including but not limited to natural disasters, public health emergencies, labor disputes, governmental actions, venue closures, or transportation disruptions.
If an event must be cancelled or significantly modified due to circumstances beyond SID’s control, SID may provide refunds, credits, or alternative arrangements at its sole discretion. SID is not responsible for travel, lodging, or other participant expenses.

Part 3 — Code of Conduct

SID is committed to providing a safe, productive, and welcoming environment for all participants.
Participants are expected to:

  • Treat others with respect and professionalism
  • Refrain from discriminatory, harassing, or abusive conduct
  • Follow venue rules and instructions from SID staff
  • Alert staff to unsafe or inappropriate behavior

Unacceptable conduct includes harassment, intimidation, discrimination, disruption of sessions, or behavior that interferes with the professional environment of the event.
SID reserves the right to take appropriate action, including removal from the event without refund and prohibition from attending future SID events. To report a concern, contact any SID staff member on-site or reach SID at office@sid.org.
SID reserves the right, at its sole discretion and without prior notice, to: revoke any participant’s event credentials and require immediate departure from the venue; deny future registration or attendance at any SID event; suspend or terminate access to SID websites, member accounts, or services; and pursue any other remedies available at law or in equity. These rights apply to any violation of these Terms, any conduct SID deems detrimental to the event or its participants, or any misrepresentation made in connection with registration. No refund will be issued where removal results from a participant’s own conduct.

Part 4 — Recording, Media, and Intellectual Property

4.1  Official Recording and OnDemand Program
SID records selected sessions, presentations, and activities for inclusion in its official OnDemand program and archival purposes.
Only SID and its authorized contractors may record sessions or presentations. Unauthorized recording, photography, screen capture, or redistribution of session content in any format is strictly prohibited.
Participants agree not to record or distribute presentations, technical content, or event activities without prior written consent from SID.
Access to the OnDemand program is granted solely to the registered participant. Login credentials are personal and may not be shared, distributed, or used by any other individual. Participants agree to maintain the confidentiality of their access credentials and accept responsibility for all activity conducted under their account.

4.2  Recording and Media Consent
By attending an SID event, you acknowledge and agree that SID and its authorized contractors may photograph, record, or capture audio or video during the event. These recordings may include your likeness, image, voice, statements, or participation in sessions or discussions.
SID may reproduce, distribute, publish, display, archive, or otherwise use these recordings and images for promotional, educational, archival, or commercial purposes in any media format now known or developed in the future, without compensation to participants.

4.3  Intellectual Property — Event Content
All intellectual property in content produced by or on behalf of SID in connection with Display Week — including SID-commissioned recordings, session captures, event photography, promotional materials, and official publications — is owned by SID. SID retains the right to reproduce, distribute, publish, archive, and otherwise use such content in its OnDemand platform, publications, marketing materials, and other official channels.
These Terms do not transfer ownership of any presenter’s or author’s underlying research, data, inventions, or presentation materials to SID. Rights in content submitted for the Display Week Symposium are governed by the separate SID Author Agreement executed at the time of paper submission. In the absence of a specific written assignment, SID’s rights in presenter content are limited to a non-exclusive license to include such content in official event recordings, proceedings, and the OnDemand archive.
Attendees and other participants may not reproduce, distribute, record, broadcast, or publicly share session content — whether produced by SID or by a presenter — without prior written permission from SID and, where applicable, the relevant presenter or author.

Part 5 — Registration, Refunds, and Delivery

5.1  Refund Policy
Display Week registration cancellations received on or before midnight PST April 3, 2026 will receive a full refund minus a 10% cancellation fee. Cancellations received after April 3, 2026 are not eligible for a refund.
Membership fees, subscriptions, express mail fees, and book purchases are not refundable unless otherwise stated. Student memberships purchased by individuals with a company affiliation are subject to cancellation without a refund.

5.2  Delivery Policy
For Display Week attendees, badges are available for pickup onsite at registration.
Publications such as books typically ship within one week of purchase via standard U.S. mail. Display Week proceedings generally ship approximately eight weeks after the event. Hard copy JSID subscriptions are shipped quarterly, and ID Magazine is shipped every other month.
In the event a publication is purchased on the website but turns out to be out of stock, or damaged such that remaining stock is deemed unfit for shipment, SID will issue a refund on the card used for the purchase, or in a manner of SID’s choosing if other payment arrangements were made. All publications are shipped Ex Works, meaning the purchaser owns them in transit. Please ensure your insurance covers such shipments, as SID cannot be responsible for missing shipments.

5.3  Payment Disputes and Chargebacks
By submitting payment for SID memberships, event registrations, or other services, you agree not to initiate a chargeback or payment dispute with your payment provider without first contacting SID to resolve the issue.
If a chargeback or payment dispute is initiated for a valid charge, SID reserves the right to suspend or revoke membership benefits, event access, or services associated with the transaction until the matter is resolved. SID also reserves the right to recover any costs or fees incurred as a result of the chargeback.
All fees are denominated and payable in U.S. dollars. Participants are solely responsible for any applicable taxes, duties, or levies imposed by their jurisdiction in connection with registration, membership, or purchases, including VAT where applicable. SID is not responsible for currency conversion costs or fees charged by participants’ financial institutions.

Part 6 — SID Membership and Website Terms

The following terms govern use of SID-operated websites and SID membership. Collection and use of personal data is governed by the SID Privacy Policy, available at sid.org.

6.1  Membership Renewal Subscription
If you select “Yes” for Membership Auto-Renewal during the membership purchase or renewal process, you agree that your Society for Information Display (SID) membership (“Subscription”) will automatically renew for the selected membership term. The applicable membership fee, at the then-current membership rate, will be automatically charged to the payment method you provided at each renewal date unless you cancel prior to renewal.
You can cancel future renewals of your Subscription at any time by unchecking Membership Auto-Renewal in your member profile at SID.org/My-Profile, emailing office@sid.org, or calling +1 (408) 879-3901. Cancellation will stop future automatic renewals and will take effect at the end of your current membership term. No prorated refunds will be provided for partially used membership periods.
SID will send a renewal reminder notice at least 30 days before your membership renewal date, which will include instructions on how to cancel before the renewal occurs. SID will also notify you of any material changes to automatic renewal terms and provide information on how to cancel before such changes take effect.
By providing your payment information and selecting “Yes & Submit” as your electronic signature, you authorize SID to charge your payment method for recurring membership renewals, consent to receive billing notices and related communications electronically, and confirm that you have read, understood, and agree to these Terms and Conditions.
SID reserves the right to change membership fees or membership benefits at any time. Any changes will apply beginning with the next renewal term.

6.2  Website Intellectual Property
All content on SID websites — including text, graphics, logos, images, publications, and other materials — is the property of SID or its licensors and is protected by applicable intellectual property laws. Use of the website does not grant permission to reproduce, distribute, modify, or otherwise use SID trademarks or materials without prior written consent. SID member lists or directories may not be used for commercial solicitation or marketing purposes.

6.3  Website Visitor Responsibility
SID does not review all material posted on or linked from this website and cannot guarantee the accuracy, usefulness, or safety of such content. The presence of material on the website does not imply endorsement by SID.
Content on the website may include errors, technical inaccuracies, or materials that some users may find objectionable. Certain materials may also infringe upon the intellectual property, privacy, or other rights of third parties, or may be subject to additional terms and conditions. Use of the website and any materials downloaded from it is at your own risk. SID disclaims responsibility for any harm resulting from the use of the website or its content.

6.4  Third-Party Websites
SID websites may contain links to third-party websites that are not controlled or maintained by SID. SID is not responsible for the content, policies, or practices of those sites, and the inclusion of a link does not imply endorsement. Users access third-party websites at their own risk. SID disclaims any liability for damages arising from the use of external websites.

Part 7 — Limitation of Liability, Indemnification, and Governing Law

7.1  Disclaimer of Warranties
The SID website and related services are provided “as is.” To the fullest extent permitted by law, SID disclaims all warranties, express or implied, including but not limited to warranties of merchantability and fitness for a particular purpose.

7.2  Limitation of Liability
SID shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to use of the website, participation in SID events, or reliance on any information provided.
To the fullest extent permitted by law, SID and its suppliers or licensors will not be liable for:
a. any special, incidental, or consequential damages;
b. the cost of obtaining substitute products or services;
c. interruption of use or loss or corruption of data; or
d. any damages resulting from delays or failures caused by circumstances beyond SID’s reasonable control.
Nothing in this section shall apply to the extent prohibited by applicable law.
In no event shall SID’s total cumulative liability to you for any claims arising under these Terms exceed the total fees you paid to SID in the twelve (12) months preceding the claim.

7.3  Indemnification
You agree to indemnify and hold harmless SID, its contractors, and its affiliates, and their respective directors, officers, employees and agents from and against any and all claims and expenses, including attorneys’ fees, arising out of your use of the website or participation in SID events, including but not limited to your violation of this Agreement.

7.4  Governing Law and Dispute Resolution
Before initiating any formal proceeding, the party asserting a claim must provide written notice to SID describing the nature of the dispute and the relief sought. The parties will attempt in good faith to resolve the dispute within thirty (30) days of such notice.
These Terms and Conditions are governed by the laws of the State of California, USA. Any disputes not resolved informally arising from these Terms or the use of SID websites or services will be resolved in the state or federal courts located in San Jose, California, unless otherwise required by applicable law.
Certain disputes may be resolved through binding arbitration in accordance with the rules of Judicial Arbitration and Mediation Services (JAMS), conducted by a single neutral arbitrator in San Jose, California, in the English language. Except for claims for injunctive or equitable relief or claims regarding intellectual property rights, which may be brought in any court of competent jurisdiction, any dispute arising under this Agreement shall be finally settled through JAMS arbitration. The arbitral decision may be enforced in any court of competent jurisdiction.

Part 8 — General Provisions

8.1  Changes to Terms
SID reserves the right, at its sole discretion, to modify or replace these Terms and Conditions, as well as the SID Privacy Policy, at any time. It is your responsibility to review these Terms periodically for updates.
Your continued use of the website, participation in SID services or events, or access to the website following the posting of any changes constitutes acceptance of those changes. SID may also introduce new services or products through the website, which will be subject to these Terms and Conditions unless otherwise stated.

8.2  Miscellaneous
These Terms constitute the entire agreement between SID and you regarding the use of SID websites, services, and events. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect. SID’s failure to enforce any provision does not waive its right to enforce it later.
